If you employ staff, you have a payroll obligation that falls due every year in October and is often overlooked until the last minute.
The EMP501 interim reconciliation covers the payroll period 1 March 2026 to 31 August 2026. The submission window opens mid-September 2026, with a final deadline of 31 October 2026.
Here is what it involves and what you need to prepare.
What Is the EMP501 Interim Reconciliation?
Every employer who deducts PAYE, UIF, and SDL from employee salaries is required to submit an EMP501 reconciliation twice a year.
The interim reconciliation covers the first six months of the tax year, March to August. The annual reconciliation covers the full year and is submitted in April and May.
The EMP501 reconciliation does three things:
- It reconciles the monthly EMP201 returns you submitted with the actual payments you made to SARS
- It reconciles those figures against the IRP5 and IT3(a) tax certificates for each employee
- It confirms that what you declared, what you paid, and what your employees received all match
If they do not match, SARS will identify the discrepancy. Fixing it after the fact is significantly more work than getting it right before submission.
What You Need to Prepare Before You Submit
The submission window has not opened yet. Use the next few weeks to get your records in order so that when it does, your submission is straightforward.
Check your EMP201 submissions:
Every month from March to August 2026, you should have submitted an EMP201 and paid the PAYE, UIF, and SDL declared. Pull each month and confirm all six were submitted on time and correctly.
Reconcile your payments to SARS:
The amounts paid to SARS each month must match the amounts declared on the EMP201. Any shortfalls or overpayments need to be identified and explained before you submit the EMP501.
Prepare your employee tax certificates:
Every employee who received remuneration between 1 March and 31 August 2026 needs an IRP5 or IT3(a) certificate reflecting what they earned and what was deducted. Confirm that every employee has a valid South African income tax number. SARS now enforces this strictly and will reject submissions that include employees without income tax numbers.
Confirm your employee tax numbers:
From 2026, SARS will not accept EMP501 submissions that include employees without valid income tax numbers. If any of your employees do not yet have tax numbers, register them via eFiling or e@syFile Employer before the window opens.
How to Submit
The EMP501 is submitted electronically. SARS no longer accepts manually completed payroll tax forms.
Employers with 50 or fewer IRP5 and IT3(a) certificates can submit directly via SARS eFiling.
Employers with larger payrolls use e@syFile Employer, the dedicated payroll reconciliation software available on the SARS website.
SARS will publish the exact opening date for the 2026 interim submission window on their website. Check the SARS PAYE page for the confirmed date before attempting to submit. Based on prior years, the window typically opens in the second half of September.
The Penalty for Late or Non-Submission
Late or Non-Submission Has Consequences
Late submission of the EMP501 results in an administrative penalty equal to 1% of your annual PAYE liability for each month the submission is outstanding.
On a payroll with a R100,000 annual PAYE liability, that is R1,000 per month for every month you are late.
Non-submission also means your employees cannot receive accurate IRP5 certificates, which affects their ability to submit their own tax returns correctly. The consequences extend beyond the employer.
